Privacy Policy
Last updated October 19, 2026
This policy explains what information Rentemate LLC ("Rentemate", "we", "us") collects, how it's used and shared, and the choices you have. It applies to rentemate.com and the Rentemate app, including the Rentemate Chrome extension. Our Terms of Service also apply.
The short version: we use your information to run Rentemate for you and the people you rent with. We don't sell it, we don't use it for advertising, and one landlord never sees another landlord's tenants or records.
1. Landlords and their records
Landlords use Rentemate to keep records about their properties, renters and tenants. For those records, the landlord decides what goes in and how it's used, and Rentemate stores and processes them for the landlord. If you're a renter or tenant with a question about what your landlord keeps, you can ask your landlord or us; we may pass your request to your landlord.
2. What we collect
Information you give us
- Account details: name, email, phone number, password (stored only as a scrambled hash), business name and mailing address.
- Property and lease details: addresses, rooms, rent, deposits, lease terms, HOA information, utility accounts, and documents such as leases, notices, condition reports and photos.
- Renting: inquiries, tour requests and feedback, rental applications (for example employment, income, rental history, references and household members), roommate profiles you choose to share, and signatures.
- Payments: rent charges, amounts, dates and status. Bank details for Pay by bank are entered on Stripe's pages and stay with Stripe; we see only things like the bank name and last four digits.
- Messages: conversations, texts sent through Rentemate, repair requests and their photos.
- Saved logins: if a landlord chooses to save a utility or HOA website login, it's encrypted and used only to collect that landlord's bills and HOA information.
Information from other services, when you connect them
- Google sign-in: your name and email address.
- Stripe Identity (ID checks): whether the check passed and the name on the ID. Stripe keeps the ID and selfie images; we don't.
- Plaid (bank linking, landlords only): account names, last four digits, balances and transactions, read-only, to match rent and record expenses. Plaid can't move money for Rentemate.
- Smart locks: door codes Rentemate creates and lock and unlock events.
- Public records: facts about a property such as year built, bedrooms and HOA dues.
Collected automatically
- Basic technical information such as IP address, browser type, pages visited and error logs, used to keep Rentemate secure and working.
- Cookies that keep you signed in and remember choices (for example how you last logged in, or which site a renter came from). We don't use advertising or tracking cookies. Maps on Rentemate are provided by Google, which may set its own cookies.
3. How we use it
- to run Rentemate: show listings, schedule tours, take applications, prepare and sign leases, track rent and bills, send reminders and notices, and handle repairs;
- to send account, security and service messages by email or text (texts only to verified numbers that have texting on);
- to keep Rentemate safe: preventing fraud and abuse and fixing problems;
- to improve Rentemate;
- to follow the law and enforce our terms.
4. How it's shared
We don't sell personal information and don't share it for advertising. We share it only as follows:
- Between the people renting together: a renter's inquiries and applications go to that landlord; a tenant's lease, payments and requests are shared with their landlord and, where relevant, roommates on a joint lease.
- Service providers that run Rentemate for us: hosting and storage (Railway, Supabase), payments and ID checks (Stripe), bank data (Plaid), email (Resend, Google), texting (Twilio), mailed letters (DocuPost), maps and sign-in (Google), AI (Anthropic), property records (RentCast) and smart locks (Sifely, Seam). They may use the information only to provide their service.
- Partners you or your landlord choose to use, such as Biddlie for repairs or a collection agency after a move-out. Only what that job needs is shared.
- For legal reasons: to follow a law, court order or legal process, or to protect the rights and safety of people or Rentemate.
- If Rentemate is sold or merged, information may move to the new owner under this policy.
Text messaging: mobile numbers and text messaging consent are not shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties.
5. AI
Rentemate uses Claude, an AI by Anthropic, to read documents (such as leases, bills and HOA papers), research rental rules, and draft text. Before HOA and lease text is sent, account numbers, phone numbers and email addresses are blanked out where possible. Anthropic processes it only to give Rentemate an answer and doesn't use it to train its AI.
6. Google user data
When you sign in with Google, Rentemate uses only your name and email address (Google also sends your basic profile, such as your picture, which Rentemate doesn't keep), and only to create and sign in to your account. Rentemate's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
7. How long we keep it
We keep information while your account is open and as long as needed to provide Rentemate. After an account closes, records that landlords and tenants may need later, such as signed leases, notices, deposit statements and payment history, may be kept as long as the law requires or allows (often several years), then deleted. Saved logins and bank connections are deleted when they're removed or the account closes.
8. Security
Information is sent over encrypted connections, saved logins and bank tokens are encrypted, passwords are hashed, and each landlord's records are kept apart from every other landlord's. No system is perfectly secure, so please use a strong password and keep it private.
9. Your choices and rights
- See and correct most of your information in your account settings.
- Ask for a copy of your information, or ask us to delete it, by emailing support@rentemate.com. We'll confirm it's you first. Some records may have to be kept, as explained in section 7.
- Stop texts any time by replying STOP, or turn texting off in your settings.
- Disconnect Google, Plaid, smart locks or other services in your settings.
Depending on where you live, you may have more rights under your state's law. Email us to use them; we won't treat you differently for doing so.
10. Children
Rentemate isn't for anyone under 18, and we don't knowingly collect information from children. A landlord may list children in a household as occupants on a lease; that information is part of the landlord's records.
11. Changes to this policy
We may update this policy. When a change matters, we'll show the new date above and tell you by email or in the app.
